Administrative Assistant

Position Summary:

The Administrative Assistant will work with, support and report to the Executive Director. Will work to execute the mission of the organization by providing logistic and administrative support to ensure the organization runs smoothly. This position is accountable to the Executive Director and the Board of Directors. This position will be part time, 30 hours a week, with the potential of becoming full time.

 

Key Functions:

Assist with oversight of agency operations and the main office.
Coordinate the organization’s resource development efforts, including strategy and implementation.
Ensure agency accountability as it relates to parent organization, Teen Challenge and non-profit regulations.
Provide administrative support for the Executive Director.

 

Qualifications: This will be a person who is in alignment and full agreement with the mission and goals of Hannah’s Haven and Teen Challenge as a Christ based ministry. They must have effective oral and written communication skills, ability to work with a diverse population of people, possess strong organizational skills, ability to multi task, and be flexible. They are highly motivated, proactive, and takeinitiative in the performance of their duties. Will help seek out new opportunities and challenges to achieve success. They must work well independently as well as lead group efforts and activities.Proficient with Word, Excel, Outlook and able to become proficient with REALM and other programs we use.

 

Responsibilities: The responsibilities of the Administrative Assistant shall include, but are not limited to the following:

 

Board of Directors Relations:

Prepare, present and interpret appropriate reports to the President for presentation to the Board.
Prepare evaluation reports of the program’s effectiveness.
Send notifications to the Board and attend the monthly Board meetings.

 

Operations:

Organize the administrative functions of the program.
Perform all administrative tasks, answer emails and phone calls, process incoming mail & bills.
Order supplies for the office, program and property.
Help coordinate the Intake process, conduct phone interviews, pray over and about potential applicants. Handle correspondence with prospective student during application process.
Manage the REALM database and keep it current. Develop and manage the volunteer database.
Manage the E-Giving website and record donations in REALM.
Coordinate property maintenance needs by scheduling preventative service and emergency repairs. Keeping accurate records of services performed. Areas include vendor contracts, lawn maintenance, trash and recycling, fire alarm system, phone and internet service, septic system maintenance and repair property improvements, and other minor repairs  
Manage vehicle maintenance, license plate renewal.
Coordinate speaking appointments for the Executive Director.
Assist with planning and execution of ministry events including locations, publicity, set-up and food.
Maintain a calendar of events and schedules. Send out any necessary communications and reminders.
With input from Board Treasurer, establish staff fiscal accountability procedures.
Create, update and maintain student records.
Assist the Executive Director with procedures and forms pertaining to staff recruitment, hiring, orientation, training and termination.
Other duties as needed or assigned by the Executive Director or Board.

 

Marketing and Communications:

Work with and support the Marketing Committee.
Manage website and social media content. Produce and publish marketing materials and brochures.
Produce and publish a quarterly newsletter with input and final approval from the Executive Director.
Coordinate all bulk mail and email projects.
Manage company letterhead, business cards and coordinate printing.

 

FundRaising and Resource Development:

Collaborate with Board members to develop a strategic fundraising plan supporting the agency’s growth and operation goals.
Seek opportunities for no-cost publicity and build relationships with media representatives.
Support all of the agency’s fund-raising activities.
Manages and improves on major gift campaigns, special events, and other forms of solicitation.
Send thank you letters, annual giving statements and other personalized correspondence to donors.
Process all contributions in accordance with IRS guidelines, deposit money, inputcontributions in REALM and send reports to the Treasurer.
Participate in all stages of grant funding from prospecting, proposal, applications and writing to relationship management and status reports.
Responsible for renewing the Charitable Solicitation License annually.
Assist with developing the annual budget.

Teen Challenge Accreditation:

Assist with the development of policy and procedures manuals that adhere to Teen Challenge Accreditation standards.
Maintain the manuals containing all policies, procedures, definitions, and lists required by those standards.
Work with the Executive Director to ensure the organization adheres to these standards.
