Description:
The Office Manager assists the Director in supervising day-to-day business, financial and physical plant operations.

Relationships

● The Office Manager is hired by and reports directly to the Director of FSMLC.
● First point of contact for Center in person, telephone, email and other social media.
● Models positive attitude and courteous behavior toward children, staff, and parents
● Demonstrates effective communication skills, and assists with parent informational needs in a timely manner
● Keep information confidential

Overall

● Be familiar with Child Care Licensing Standards and assists Director in ensuring guidelines are met.
● In the absence of the Director, the office manager is designated to be –in-charge of the Center.
● Participate in Center events and activities.
● Assist with meal service operation ensuring food is delivered in timely manner and distributed to classes.
● Be prepared to assist in classrooms on as needed basis.

Office

● Demonstrates knowledge and skills in the use of computer applications and programs for communication and business management of the Center.
● Assists in maintaining, cleanliness, security, and proper functioning of Center building.
● Responsible for ensuring reception is covered and phone is answered.
● Respond to parent emails and convey messages to teachers in a timely manner.
● Sort mail. Open and distribute as needed
● Track office supplies and classroom supply closet and provide purchasing list.
● Assists in the admission and enrollment process, scheduling tours and ensuring all paperwork is completed
● Assists with maintaining Center-wide inventory.
● Maintains all children records as required by Licensing standards.
● Assists with PR & Marketing programs to include; FSMLC Website, social media, print materials, community involvement.

Finance

● Send out monthly/weekly tuition billing reminders. Track tuition payments.
● Count all monies received, make copies of checks, keep copy of Incoming Funds log, and give money and log to Women’s Campus for deposit.
● Alert Director to late payment issues.

Required Qualifications

● Minimum of High School Diploma/ preferred 2 or 4 year Degree
● Two year office / reception experience preferably in educational setting.
● A clear record through background checks
● Person of spiritual maturity, amiable to the Assemblies of God doctrine, and in full agreement with the Teen Challenge mission statement.
