Position Summary

We are seeking an Event Coordinator who is positive, resourceful and reliable to oversee and support 3 events. We are looking for someone who has proven experience with planning and executing both in person and virtual events. The ideal candidate has excellent organizational and time management skills, is an exceptional team player and people-person, as well as thrives in a versatile role with many responsibilities.


Leads 3 special events to promote ATCOT San Antonio in the community. Manages the event logistics, communication, and execution. Assists ATCOT San Antonio with scheduling, preparing for and hosting both in person and virtual events.

Essential Functions

  • Coordinates and implements logistics for 3 ATCOT San Antonio events including a silent auction and live worship elements.
  • Drafts sponsorship forms, including levels and deliverables, for events
  • Acts as the liaison for event sponsors and assists with communication with sponsor representatives, ensuring all deliverables and expectations are fulfilled
  • Works with Media department to coordinate, edit, and print the special event materials (signage, programs, invitations, announcements), event promotional pieces (press releases, fliers, Web site announcements, etc), and event information distribution (via email, fax, facebook)
  • Coordinates staffing and volunteers for these events
  • Oversees set-up for events with Media department and provides background technical assistance as needed
  • Creates and oversees guest registration for events, and oversees attendee management (including registration, responding to guest inquiries and questions, sending invoices, and processing payments)
  • Oversees and offers training when needed for guest registration at all in person events; staff members and volunteers will assist
  • Manages budgets, requests payments for vendors through the Finance department, ensures proper actual expenditures and provides close-out reports for each project
  • Establishes and maintains special events guidelines in negotiations with vendors (catering, audio/visual, entertainment, etc.)
  • Manage and direct a team of Staff/Interns/Students for reaching out to potential Donors and event Participants
  • Moderate and upkeep a functional call list for each event
  • Retain and backup the event specific data for future event use
  • Provide event details, records, issues, etc. Accurately and within a timely manner to Director(s) when requested or needed

Knowledge, Skills and Abilities

  • Proven experience in event coordinating
  • Strong communication skills, and professional demeanor able to work with a variety of agencies
  • Expert level proficiency in scheduling, logistics, organizing and communicating to other regarding updates on people, places and things
  • Experience in fundraising and working with donors/sponsors
  • Ability to work independently as well as part of a collaborative team
  • Strong multi-tasking skills, and the ability to adapt and react to changes in a calm and professional manner
  • Effective time management skills and committed to meeting deadlines
  • Experience in developing and administering event budgets
  • Experience with calendar management and general office administration
  • Working knowledge of Microsoft Office Suite required
  • Available to work occasional nights/weekends for events as needed

Education and Experience

  • Experience in related field required.
  • 2 Years of event management and logistics

Individual shall have knowledge of the various treatment approaches and the reality that the only permanent cure is in Jesus Christ. Individual shall be empathetic to those with life controlling problems.
